Mailing Work Party Invitations (and Instructions)
Before you mail your Work Party invitations (with instructions), you may want to call your Circle members to zero-in on a date where most people can attend. This will help to insure the best possible turnout.
In addition to the basic party invitation stuff, the Work Party invitation will need to include the following Instructions:
1. "When you call or email to RSVP, please let us know how many names and addresses you have so we can accurately make enough copies for the mailings."
2. "Please purchase and bring #10 white business envelopes AND 1 st class stamps equaling 3 times the number of names on your lists.
3. For the postcards, please purchase and bring 1 st class postcard stamps also equaling 3 times the number of names on your lists. During our Work Party, we will be preparing the first 6 mailings."
4. "Lots of good food will be provided, but we’d love for you to bring a large bottle or two of soft drinks and a bag of munchies." (Change this if you’re doing a Pot Luck.)
Your Work Party "Presentation"
As the Party begins (and before you start working on the mailings), you will need to cover 3 important issues with your Inner Circle. So once everybody has arrived and has been seated, cover these 3 things as a group. All 3 items should take NO LONGER than 45 minutes.
• First, Introductions: Even though everybody knows you, they probably don’t know each other. So you’ll begin the process, letting the others follow your lead.
The way you will begin (and what you’ll ask them to share also) is to start by formally introducing yourself.
Then you’ll share 3 things about you: 1) where you were born, 2) what you do (occupation), and 3) your favorite hobby or sport. This general information will help the others see what they each have in common so they get to know each other more quickly.
WARNING: This Introduction step can "bog down" if you let it. Keep it easy and quick, and if someone is droning on and on about themselves, politely cut them off and get on to the next person.
After everyone has finished introducing themselves, you will offer a 4th bit of information . . .
. . . You will share YOUR STORY of why you have selected adoption as your journey to parenthood. You need your Inner Circle members to know your story intimately. They will be sharing your story with all the people they contact and meet.
• Second, Your Objectives: Next, you must share with your Inner Circle members the objectives of your Birthmom search and your "plans of action". Your Inner Circle must understand the "big picture" as well as many of the details of how this process works.
They will be answering questions when the people on their lists call them to inquire. So you need to conduct a "training session" on how the whole process works. This will be your chance to create focus to your Inner Circle’s search efforts.
• Third, Brainstorm Session: After everyone has a clear picture of the process, you will conduct an information-sharing brainstorming session so your Circle members can share their own ideas for moving forward.
As you present your plan of action, ideas will pop in their heads. You will want to capture these ideas. Great ideas will pop up that you would have never thought of. This is powerful stuff! Make sure somebody is writing down every word that is said! (Be sure to assign somebody else to write down all the ideas. You’ll be too busy keeping things moving in the meeting.)
Preparing the Mailing
After the presentation, you’ll spread out at the tables and begin to prepare the mail pieces. Below is a list of what should be included in each mailing.
