Step 8: Holding your Inner Circle "Work Party" Get the Mailings Prepared and Sent OK. You have picked your Inner Circle members very carefully. These people are friends and family, spread out all over the map, who all have a very deep desire to see you succeed and become parents through adoption.
They’ve already completed one major task. Each has assembled and is managing a list of their friends, family and acquaintances for you to contact, totaling 100 or more names and addresses. Now its time for them to put their EFFORT (and a little money) where their HEART is. It is time for your… INNER CIRCLE MAILING "WORK PARTY" Your Inner Circle Work Party will be a 6-hour party of fun and friendship. You will gather together around fellowship and food (that you will provide, by the way) and you will be able to present your "plan of action". Circle members will meet each other and share ideas for moving forward. This will be your chance to create focus to your Inner Circle’s search efforts.Here is something else important. Even if a few Circle members live out of town (too far to travel), they can still be included in the Work Party. Ask each out-of-towner to reserve the same 6-hour block of time as your Party. They can bring their own family and friends together to help them with preparing their mailings. If some out-of-towners happen to live in the same city, ask them to gather together at a common place. You can schedule phone calls once per hour to see how everybody is doing. (This can be very fun with a speaker phone.) Or you can even schedule one or two CONFERENCE CALLS during the 6-hour period to get updates from each city. While this is a party...a lot of work will get done also.Your Circle members will be stuffing, sealing, addressing, and stamping the hundreds of letters and postcards being sent to the people on their lists. Actually, they will be doing this for the NEXT SIX MAILINGS that you will be sending out. Why six mailings? Let’s face it. You can’t waste this great chance when all your Circle members are together. Don’t just get one mailing ready when you can get six done instead! So as you prepare for this party, make sure you have photocopied enough material (fill-in-the-blank letters and postcards) for at least your first six mailings. Since you will be sending mailings out every three to four weeks, this Work Party will prepare you for the next four to six months. 5 1⁄2 months from now, you will be having another Work Party. That is, IF YOU NEED ONE! After all, by the time 1,000 x 6 = 6,000 or more letters and post cards go out, you may have found EXACTLY what you’re looking for!!!! One final word on Endorsement During the Work Party, the handwritten "endorsement" note on the Return Address will ONLY be needed for your first two mailings (the Introduction letter and the Request Reminder letter). After that, your audience will recognize your Return Address label and they will open your letter or read your post card without the need for a hand-written note of endorsement.You will now find that your mailings have officially gained A-pile status!
